Position Title:  Executive Assistant  Department:  Administration
 FTE/STATUS: Full-time, Permanent  Salary Range:  $22 – $25 (Dependent on Experience)
 Office Hours: 35 hours/week (Monday to Friday)  Effective Date:

Under the direction of the Chief Administrative Officer (CAO), the Executive Assistant provides high-level administrative support to the CAO and Chief and Council (CC). The role includes managing communications, organizing meetings, creating graphics, and ensuring the smooth operation of administrative tasks.

Required Qualifications / Education / Experience / Skills:
  • College Diploma in Office Administration, or a related field.
  • Additional training in executive support is considered an asset.
  • 1-3 years of experience in an executive assistant or administrative role.
  • Proven experience in minute-taking, social media management, and event coordination.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook), Adobe Creative Suite (Illustrator, InDesign, Photoshop).
  • Excellent verbal and written communication skills, with the ability to compile detailed reports and minutes.
  • Comfortable utilizing technology for accurate and timely minute-taking.
  • Ability to manage budgets, reconcile expenses, and comply with policies.
  • Strong interpersonal skills, with the ability to build relationships with internal and external stakeholders.
  • Ability to maintain Confidentiality and abide by Skwah First Nations’ Policies and Procedures.
  • Knowledge, respect and understanding of Stó:lō culture, traditions and language is a bonus.
  • Experience working with First Nations is considered an asset.
  • Satisfactory Criminal Record Check.
  • Neat in appearance, outgoing, friendly, and cooperative personality.
Duties and Responsibilities:                                    
  • Provide high-level administrative support to the CAO and CC.
  • Manage emails, schedules, and communications for the CAO and CC.
  • Organize and book meetings, including hotel reservations and catering arrangements.
  • Maintain updated list of all staff and council contacts.
  • Prepare and distribute agendas, minutes, and meeting packages in a timely manner.
  • Preparing and taking minutes for all Council meetings, Commitee meetings, and events.
  • Create presentations for departmental and educational purposes as per the direction of the CAO.
  • Help manage social media accounts, including posting updates and announcements on Facebook and other platforms if needed.
  • Coordinate catering for monthly membership meetings and other community events.
  • Assist with the setup and organization of meetings and events.
  • Reconcile expenses for hotels, catering, and other event-related costs.
  • Order office supplies, flowers, and giveaways as needed.
  • Perform other duties as assigned by the CAO.

From time to time you may be required to provide relief or back up to other employees with in your department, or within other departments as your training and experience deems appropriate.
